AI Voice & Chat Agent Policy

This AI Voice & Chat Agent Policy (“Policy”) governs the use of artificial intelligence (AI)-powered voice agents, chat agents, and automated communication tools (“AI Services”) provided by VOIPx3.

This Policy is incorporated into and forms part of the VOIPx3 Terms of Service, Acceptable Use Policy (AUP), and Messaging Policy.

1 Overview of AI Services

VOIPx3 may provide AI-powered tools that enable automated interactions with customers, prospects, or users, including:

  • AI voice agents (inbound and outbound calls) 
  • AI chat agents (web, SMS, messaging platforms) 
  • Automated workflows and responses 

By using AI Services, you acknowledge that interactions may be handled in whole or in part by automated systems.

2 Disclosure Requirements (CRITICAL)

You must clearly disclose the use of AI when interacting with individuals.

Required Disclosure

At the beginning of any interaction, you must provide a clear notice such as:

“This call may be recorded and may involve an AI-powered system.”

or

“You are interacting with an AI assistant.”

Additional Requirements

  • Disclosures must be clear, conspicuous, and not misleading 
  • Users must not be led to believe they are interacting with a human if they are not 
  • Disclosure must occur before collecting sensitive information

3 Consent & Legal Compliance

You are responsible for ensuring that your use of AI Services complies with all applicable laws, including:

  • Telephone Consumer Protection Act (TCPA) 
  • Call recording and consent laws (one-party vs. two-party states) 
  • Do Not Call (DNC) regulations 
  • Data privacy laws (e.g., CCPA, GDPR) 
  • Emerging AI disclosure and consumer protection laws 

You must obtain all required consents before:

  • Initiating automated calls or messages 
  • Recording conversations 
  • Collecting personal or sensitive information

4 Permitted Use

AI Services may be used for legitimate business purposes, including:

  • Customer support and service 
  • Appointment scheduling 
  • Lead qualification 
  • Order processing and notifications 
  • Internal business automation

5 Prohibited Use

You may not use AI Services to:

  • Mislead users into believing they are speaking with a human 
  • Engage in fraud, deception, or impersonation 
  • Conduct robocalling or messaging without proper consent 
  • Harass, spam, or abuse individuals 
  • Collect sensitive data (e.g., financial, health, personal identifiers) without proper disclosure and safeguards 
  • Violate any applicable law or VOIPx3 policies

6 Data Handling & Privacy

You are responsible for how data is collected and used through AI interactions.

You agree to:

  • Collect only data necessary for your business purpose 
  • Protect all personal and sensitive data 
  • Comply with applicable privacy laws 
  • Provide required privacy notices to users 

VOIPx3 may process AI interaction data to provide and improve Services, subject to its Privacy Policy.

7 Human Oversight

You are responsible for monitoring and supervising AI behavior.

You must:

  • Review AI responses periodically 
  • Ensure outputs are accurate and appropriate 
  • Provide human escalation where necessary 

VOIPx3 does not guarantee the accuracy or appropriateness of AI-generated responses.

8 Third-Party Integrations

AI Services may integrate with third-party systems.

You are responsible for:

  • Ensuring compliance with third-party terms 
  • Securing all integrated systems 
  • Managing data shared across platforms

9 Service Limitations

AI Services:

  • May produce inaccurate or incomplete responses 
  • May not function as intended in all scenarios 
  • Depend on network, system, and third-party availability 

VOIPx3 does not guarantee outcomes generated by AI systems.

10 Enforcement

VOIPx3 reserves the right to:

  • Monitor AI usage for compliance 
  • Suspend or terminate Services for violations 
  • Restrict or block non-compliant campaigns

11 Indemnification

You agree to indemnify and hold harmless VOIPx3 from any claims arising from:

  • Your use of AI Services 
  • Failure to provide required disclosures 
  • Violations of law or regulation 
  • Misuse of automated communications

12 Updates to This Policy

VOIPx3 may update this Policy at any time. Continued use of AI Services constitutes acceptance of the updated terms.
